No. UTILIA OS does not replace your accountant or advisor: they keep doing your bookkeeping and filing your taxes. In UTILIA OS you invoice, record your expenses and get paid, and you can give your accountant their own login to see and download what you share with them, without using up a user on your plan. Accounting and taxes inside UTILIA OS are coming soon. UTILIA OS and its AI do not replace professional advice from your tax advisor, accountant, lawyer or financial analyst.
The advantage is not having many modules but that they all share the same data: the client you add once appears in the quote, the invoice, the client portal and the project. You can start with a single part and add the rest when you need it.
You and your team: Claude, ChatGPT and other assistants only connect when a person authorizes them with their own account, and that person can disconnect them at any time.
A paid account with that service: on Claude, Pro, Max, Team or Enterprise; on ChatGPT, Plus, Pro, Business, Enterprise or Edu, with developer mode turned on. You can also connect Cursor and Gemini CLI. No. Each plan includes a number of users (3, 5 and 10) and an extra user costs 12, 15 and 19 euros a month depending on the plan. The price is per company. Each plan also includes logins for your accountant, which do not count as users: 1, 2 and 3 depending on the plan.
The three plans include different modules. Essential comes with the CRM (clients, contacts, quotes with electronic signature and tasks), finance (invoices, expenses, suppliers and the income, expenses and VAT summary), chat, meetings, calendar, files, projects and support. Professional adds leads and lead capture forms, opportunities with their pipeline, CRM automations, the client portal, card payments (Stripe), recurring billing and automatic charges, a help desk for your clients, marketing, time tracking and training. Advanced adds Call Copilot, Gamification and Scraper, CRM and marketing reports and advanced analytics, revenue by campaign, business groups and AI agents in chat. Coming soon in Finance: taxes, on Professional and Advanced; accounting, treasury, financial reports and commissions, on Advanced. When you sign up you see the modules included in the plan you choose.
Every plan includes an amount of AI usage that renews every month, also on yearly billing: the assistant, transcriptions and reading receipts and supplier invoices, among other features. If it runs out, AI pauses until it renews and the rest of UTILIA OS keeps working; if you want, you buy extra prepaid credit. Never charged by surprise.
Yes. Every new company gets a 14-day trial, no card required.
Yes. Upgrading is immediate. Downgrading applies when the period you already paid ends; nothing is deleted, but the modules the new plan does not include stay closed until you subscribe to them again.
Each person's daily record, which you export in PDF, Excel, CSV or XML. Every clock-in is sealed with its fingerprint and, if a manager corrects it, the record shows who did it and why. Overtime is counted against the cap in article 35 of the Workers' Statute, and records are kept for four years, as the law requires. Keeping the record is still your company's responsibility.
No card required. If you do not save one, nothing is charged when the trial ends.
